Renewal Operations
Renewal operations
Organise B2B renewals around contract terms, customer value, open issues, commercial decisions and accurate outcome records.
Renewal operations turns an approaching contract decision into a clear customer outcome and an accurate commercial record. It links the agreement, evidence of value, open service issues, decision makers and the steps required to complete a renewal. Set the timetable from the actual terms and the customer's buying process.
Keep one renewal record
For each account, record the current agreement, the services and quantities covered, relevant end dates, notice and automatic-renewal terms, the customer decision maker and the people responsible on your side. Check these details against the agreement rather than relying on an old opportunity. Different contract lines may have different dates; the next decision for an account may concern only part of its service.
Give the renewal a named coordinator and a next decision. That person need not also approve pricing, resolve a fault or sign the agreement. Make those responsibilities visible. The record should answer: What decision is due, who can make it, what evidence is missing and when must the next action happen?
Contract Renewal Best Practices
- Single Renewal Record
- One central record per account
- Named Coordinator
- Assigned for ownership and follow-up
- Next Decision Date
- Clearly defined and tracked
Validate the contract lines in scope
Where an account has subscription contract lines, check the lines due for renewal rather than treating the whole account as one unit. In Business Central, the Subscription Contract Renewal page can generate quotes for contract lines that are about to expire or have expired. Use the Subscription Line End Date Period filter to set the earliest end date to include, then apply any other relevant line filters before creating renewal lines.
A line is valid for this process when an end-date period is specified and the line is not closed. Lines close when they reach their Subscription Line End Date; closed lines can be viewed on the Closed Lines FastTab and reopened by clearing the Closed checkbox. If vendor-side lines are relevant, the Add Vendor Subscription Contract Lines option includes related vendor lines for the same subscription in the renewal check.
Review the account before preparing an offer
Bring together the customer's stated objectives, evidence of progress, current use, support history and changes in stakeholders or priorities. Ask which outcomes still matter. Product activity can show how a service is used; it does not, by itself, establish a business result. Describe estimates and gaps in the data.
Show problems as well as gains. If a critical workflow is still failing, record its impact, any workaround, the response owner and the next update alongside the renewal path. A green account label or a completed support ticket should not replace the customer's account of whether the problem is resolved.
For support evidence, retain the ticket status and the relevant response or resolution target alongside the account's description of the issue. Zendesk SLA policies can set response and resolution targets based on ticket priority, apply when their specified conditions are met, and highlight missed targets in tickets and views.
Pros and Cons of Using SLA Policies in Renewal Tracking
- ProsAutomatically track response and resolution targets; highlight missed SLAs; improve accountability
- ConsMay not reflect actual customer satisfaction; can create false confidence if tickets are closed but issues persist
Run two connected conversations
Value confirmation asks whether the service is worth continuing for the customer's present goals. Commercial negotiation covers scope, term, price, procurement and approval. The conversations inform each other, but they may need different evidence and participants.
A customer may value the service yet reject the proposed terms. An attractive price does not settle a serious service problem.
Record objections in their own terms. A budget objection needs a commercial decision; an unreliable workflow needs a service response. A single generic risk label makes it harder to assign the right owner.
Agree a path to decision
Work backwards from any contractual notice or decision date and the customer's approval timetable. The path may include a value review, response to open issues, an offer, procurement review, agreement and confirmation that the outcome was recorded correctly. Its order and lead time depend on the agreement and the customer's process.
At each stage, record the owner, due date and evidence of completion. An offer sent is not an offer accepted. A verbal intention to renew is not a completed agreement. If terms change, check that both sides use the same version and that the final record matches what was approved.
Separate quote creation from renewal completion
Creating a renewal quote is a preparation step, not evidence that the contract line has been extended. In Business Central, specify a Renewal Term for the line; the field is prefilled from the Initial Term. Converting the sales quote to a sales order and shipping it is the point at which the Subscription Line End Date is extended.
Keep the status in the renewal record aligned with the actual stage reached. Record a quote as prepared or sent when that is what happened, and update the outcome only when the required commercial steps are complete. This prevents a planned renewal from being mistaken for a completed one.
Close the loop on either outcome
For a renewed account, confirm the agreed scope, term, effective date and internal handover. Tell the customer who owns any outstanding service commitments. For a lost renewal, record the customer's stated reason where available, supporting evidence, other contributing factors and what remains uncertain. Do not turn an account manager's guess into a customer fact.
Review patterns only after individual records are sound. They may suggest a recurring service fault, a mismatch with customer needs or a commercial constraint. If the decision was outside the team's control, record the constraint and any follow-up that remains with the team.
In this guide
- Preparing a renewal review before the contract deadlineCheck the agreement and decision timetable, prepare balanced evidence and give the customer a clear agenda before a B2B renewal deadline.
- Separating commercial negotiation from value confirmationKeep evidence of customer value distinct from price, scope and term negotiations so each renewal question gets the right owner and decision.
- Handling a renewal with unresolved service issuesMake an open service issue visible in a renewal decision with a clear account of impact, response ownership, commitments and uncertainty.
- Documenting the reason for a lost renewalRecord the scope, customer-stated reason, contributing evidence and uncertainty behind a lost B2B renewal.
