Comparing customer success platforms by operating workflow

Compare Gainsight, Planhat and Vitally against the same customer success workflow, including documented capabilities and practical limits.

Compare customer success platforms by giving each shortlisted provider the same account scenario and having the team complete the same work. A feature list identifies candidates; a demonstration or bounded trial shows whether an owner can understand a signal, assign a response and find it again at handover.

Documented platform capabilities and limits

  • Gainsight: CTA queueCustomer-linked calls to action, created manually or by rules, with assignable tasks and optional playbooks.
  • Gainsight: scorecardsDistinguishes company and relationship scorecards.
  • Gainsight: Salesforce syncReal-time Salesforce-to-Gainsight sync for account, contact and case data; real-time bidirectional sync is unavailable.
  • Planhat: ProjectsTask-led work applied to a range of record types.
  • Planhat: SequencesEmails to end users that can also include tasks; applied to End Users or Companies.
  • Planhat: Salesforce syncPlanhat changes sync to Salesforce in near real time; standard Salesforce-to-Planhat sync every 10 minutes; alternative every 30 minutes.
  • Vitally: health scoresAccount or organisation health scores with configurable healthy, concerning and poor conditions and weights; overall health is a weighted average, calculated hourly.

Define the workflow first

Write down the trigger, the decision and what completion means. For example, recorded use of an agreed workflow falls during a period when the customer should have needed it. The owner checks the source and the customer's explanation, then assigns an obstacle or records why the change is expected. Use the same source fields, account structure and missing-data case with every provider.

Ask to see the account record, the signal's source and date, the assigned work, a colleague's handover view and the way bad data is corrected. Confirm what is available in the proposed edition and configuration. A prepared demonstration does not establish how your own records will behave.

Define the workflow before comparing platforms

  1. TriggerRecorded use of an agreed workflow falls during a period when the customer should have needed it.
  2. DecisionCheck the source and the customer's explanation, then assign an obstacle or record why the change is expected.
  3. CompletionDefine what completion means and test it with every provider.
  4. Same test dataUse the same source fields, account structure and missing-data case with every provider.

Gainsight: calls to action for owned follow-up

Gainsight's Cockpit documentation describes customer-linked calls to action (CTAs), created manually or by rules, with assignable tasks and optional playbooks. Its scorecard documentation distinguishes company and relationship scorecards. Consider Gainsight if the main workflow needs a visible queue of account actions and repeatable follow-up.

Check the administration behind that queue: CTA types and other settings must be configured, and the team must decide which signals warrant action. Gainsight's Salesforce connector covers account, contact and case data. Its documentation describes real-time Salesforce-to-Gainsight sync for those objects but says real-time bidirectional sync is unavailable.

Establish the direction and timing required by your workflow. Gainsight's published package overview lists different included full-user and customer-record allowances for Essentials and Enterprise.

Planhat: projects and sequences

Planhat documents Projects for task-led work and Sequences for emails to end users that can also include tasks. Projects can be applied to a range of record types, while Sequences can be applied to End Users or Companies.

Steps can be internal actions, interactions with a customer, or actions for a customer to complete themselves. Workflows can automatically apply and activate or deactivate elements based on changes in Planhat data. Consider Planhat when the team needs a repeatable process with several steps and a clear owner for work requiring a person.

Ask the provider to build the exact process rather than assuming a Sequence and a Project are interchangeable. For the Salesforce integration, Planhat's documentation describes changes made in Planhat syncing to Salesforce in near real time, a standard Salesforce-to-Planhat sync every 10 minutes, and an alternative Salesforce-to-Planhat sync every 30 minutes.

Vitally: account and organisation actions

Vitally documents account or organisation health scores with configurable healthy, concerning and poor conditions and weights. An account's overall health is calculated as a weighted average of each health score, and scores are calculated hourly. Consider Vitally when the team wants an account or organisation health signal to be visible and configurable. Use the same demonstration checklist as in "Define the workflow first" to test the scenario.

Record a comparable decision

For each provider, note whether the scenario was completed, which steps needed administrator help, how late or missing data appeared, what the account owner could change and what would need ongoing maintenance. Use permitted records in a bounded trial before relying on an operational result, and compare complete commercial proposals against the same scope.

Record a comparable platform decision

  • Whether the scenario was completed
  • Which steps needed administrator help
  • How late or missing data appeared
  • What the account owner could change
  • What would need ongoing maintenance
  • Compare complete commercial proposals against the same scope
